How to Design a Custom QR Code That Actually Scans

A customised QR code is only worth printing if it scans on the first attempt, in poor light, from a phone held at an awkward angle. Most branded codes that fail in the field fail for a small number of predictable, fixable reasons β€” and almost all of them are decided at design time, before anything reaches a printer.

Here is what actually governs whether a designed QR code works.

The quiet zone is not optional whitespace

Every QR code needs a clear margin around it so a scanner can tell where the code begins and ends. The specification calls for a quiet zone of four modules on all four sides β€” a module being one of the small squares that make up the code.

This is the single most common thing designers remove. A code tucked tight against a border, a photograph or the edge of a label loses its quiet zone and scanners simply will not lock on. If your layout is tight, shrink the code rather than the margin.

Contrast matters more than colour

Scanners read a QR code as light and dark, not as colour. Two rules follow:

  • Keep the code darker than its background. Inverted codes β€” light modules on a dark field β€” are read by some scanners and refused by others. On printed material where you cannot control the scanning app, avoid them.
  • Keep contrast high. A mid-grey code on a beige background may look elegant on screen and be unreadable on paper, where ink spread and ambient light both work against you.

Brand colours are fine, provided the dark modules stay genuinely dark. A deep navy or forest green usually works. A pastel rarely does.

Size follows scanning distance

A practical rule of thumb is a 10:1 ratio β€” the code should be roughly one tenth of the distance it will be scanned from. A code read from 50cm away wants to be about 5cm across.

For something handled directly, like a business card or a menu, 2cm Γ— 2cm is a sensible practical minimum. Below that, printing tolerances start to matter more than your design does. For posters and vehicle livery, measure the real viewing distance and size up accordingly β€” this is where most outdoor QR campaigns quietly fail.

Error correction is what buys you a logo

QR codes carry redundant data so they still resolve when part of the code is damaged, dirty or covered. There are four levels defined in the standard:

  • L β€” approximately 7% of the code can be recovered
  • M β€” approximately 15%
  • Q β€” approximately 25%
  • H β€” approximately 30%

A centred logo works because it sits inside that redundancy budget. If you are placing a logo, use H and keep the covered area comfortably under the limit rather than at it β€” you want headroom for print imperfection and wear, not a code that only works on a clean screen.

Higher error correction makes the code denser, which interacts with the sizing rule above. A long URL at level H produces a busy code that needs to be printed larger. Shortening the destination URL is usually the cheapest way to simplify a code.

Rounded corners, gradients and other liberties

Custom module shapes and gradients can survive scanning, but each one narrows your margin for error. If you are applying several at once β€” rounded modules, a gradient fill, a logo and a tight layout β€” you have stacked four small risks into one code.

The three finder patterns in the corners are the least forgiving elements. Restyle them last, test them hardest, and revert them first if scanning gets unreliable.

Test the way your customers will

Screen tests prove very little. Before a print run:

  • Print a proof at the exact final size, on the actual material
  • Scan it with several phones, including at least one older Android handset
  • Test in dim light and at an angle, not just square-on under a desk lamp
  • Check it through a camera app, not only a dedicated QR reader

Matte stock scans more reliably than gloss, which throws back glare. Curved surfaces β€” bottles, cups, vehicle panels β€” need a larger code than a flat equivalent.

Use a dynamic code so design mistakes are survivable

The most expensive QR failure is not a code that will not scan. It is a code that scans perfectly and points at the wrong place after 5 000 flyers have been printed.

A dynamic QR code keeps the printed pattern fixed while the destination stays editable, so a wrong link, a changed promotion or a retired landing page is a two-minute fix rather than a reprint. It also means scan data comes back to you β€” how many, where and on what device β€” which is how you find out whether the placement was any good.

When to hand it over

Designing one code for a business card is a job you can do yourself in a few minutes. Rolling out several hundred across packaging variants, retail locations or a franchise network is a different exercise: consistent branding, print-ready output at multiple sizes, and a naming and tracking structure you can still make sense of a year later.

That is the point at which custom QR code services are worth the money β€” not for the design of any single code, but for the system around it. If you are running a campaign at that scale, get the structure right before the first print order, not after it.
