What to Put Behind an Event QR Code

A QR code is only as useful as the page it opens. These are the destinations South African event organisers use most, and every one works with a single dynamic code.

📝

Event Registration & RSVP

Link invitations, emails and posters to your registration form, RSVP page or ticketing page. One scan replaces typing a long web address.

📅

Add to Calendar

A calendar-event QR code saves your event title, start date, start time and end date straight into the guest's phone calendar so they don't forget.

🗓️

Live Programme & Schedule

Put one code on badges, table cards and screens that opens your programme. Speaker swaps and room changes are updated online — the printed code stays the same.

📶

Venue WiFi

A WiFi QR code connects guests to the venue network in one scan, instead of spelling out a password to every table.

🤝

Speaker & Networking Contacts

Speakers and exhibitors share a vCard QR code that saves their contact details directly to a phone — the easiest way to follow up after a conference.

📸

Photo Sharing

Point a code at a shared Google Photos album or Drive folder so guests can view and upload event and wedding photos from their phones.

Feedback & Surveys

Place feedback codes at exits, on the last slide and in follow-up emails so attendees rate sessions while the event is still fresh.

🗺️

Maps & Directions

Link to a Google Maps pin for the venue, parking or the after-party so guests arrive at the right entrance.

How to Create a QR Code for an Event

Step 1: Decide What Each Code Opens

Use a separate code for each job — one for registration on the invitation, one for the programme on badges, one for feedback at the exit. Separate codes give you separate scan counts, so you can see which job each one is doing.

Step 2: Create and Brand the Code

In QR Code Pro, choose the code type (website link, calendar event, WiFi or contact card), paste your destination, and style it with your event colours, a frame such as "Scan for the Programme" and your logo. These are editable QR codes, so you can change QR code after printing when plans change.

Step 3: Test, Print and Track

Scan the code with two different phones before sending artwork to print, and print it at least 2 cm wide so it scans from arm's length (larger on banners viewed from a distance). During the event, your QR code analytics dashboard shows scans by time, city and device.

Event QR Codes vs Ticketing & Check-In Systems

Use QR Code Pro for

  • ✅ Registration, RSVP and ticket-sales links on invitations and posters
  • ✅ Programmes, maps and speaker details that change after printing
  • ✅ Venue WiFi, calendar reminders and contact cards
  • ✅ Photo sharing, sponsor links and feedback forms
  • ✅ Seeing which placements guests actually scanned

Use a ticketing platform for

  • 🎫 Selling tickets and issuing a unique ticket per guest
  • 🚪 Scanning guests in at the door and blocking duplicate tickets
  • 📋 Guest lists tied to payment

QR Code Pro counts scans and redirects them; it does not mark a ticket as used. Most organisers use both: the ticketing platform at the gate, and QR Code Pro everywhere else.

Features for Event Organisers

🔄

Edit After Printing

Swap the destination behind a printed code in seconds. The registration code on your posters can open the live programme on the day and the feedback form afterwards.

📊

Scans by Time, City & Device

See how many times each code was scanned and when, so you know whether the entrance banner or the table card worked. Scans are counted per code, not per person.

Expiry Dates

On Pro and higher plans, set a date after which the code stops redirecting, or switch a code off at any time from your dashboard.

🔒

Password Protection

Add a passcode to codes meant only for crew, speakers or VIP guests, so a photo of the badge doesn't open the back-of-house schedule.

📦

Bulk Creation

Create codes in bulk from a spreadsheet, up to the code limit on your plan — useful for per-speaker, per-exhibitor or per-table codes at large conferences. Team is R299/month for 500 codes.

🎨

Branded Codes & Flyers

Match your event colours, add your logo and a call-to-action frame, then design matching flyers and posters in the Print Studio.

QR Codes for Weddings & Private Events

Weddings, year-end functions and birthdays use the same codes on a smaller scale. The most common wedding uses are:

  • 💌 RSVP link printed on the invitation
  • 📸 Shared album for guests to upload photos
  • 🪑 Seating chart that you can still rearrange
  • 🌐 Wedding website with directions and dress code
  • 📅 Save-the-date that adds the day to guests' calendars
  • 🎁 Gift registry link on the welcome sign

Because the codes are dynamic, a late seating change or a moved photo album does not mean reprinting the stationery.

Frequently Asked Questions

How do I create a QR code for an event?

Sign up for a QR Code Pro account (14-day trial, no credit card required) and choose what the code should open: your registration form, RSVP page, programme, photo album, feedback form or a calendar event. Brand it with your event colours and logo, download it, and add it to your invitations, badges, banners or table cards. Because the code is dynamic, you can change where it points after printing.

Can QR Code Pro do event ticketing or check-in at the door?

No, and we want to be clear about that. QR Code Pro does not issue single-use tickets and does not scan attendees in at the gate. For paid entry and door check-in, use a dedicated ticketing platform. QR Code Pro handles everything around the ticket: registration and RSVP links, the programme, venue WiFi, speaker contact cards, photo sharing and feedback — and it can link to your ticketing page.

Can I change an event QR code after it has been printed?

Yes. QR Code Pro codes are dynamic, so the printed code stays the same while its destination can be edited from your dashboard. Point the same code at the registration form before the event, the live programme on the day and the feedback form afterwards, without reprinting badges or banners.

Can a QR code track event attendance?

A QR code counts scans, not people. QR Code Pro shows how many times each code was scanned, when, and on what type of device, which tells you which posters, tables and screens got attention. To record who attended, point the code at a sign-in form (for example a Google Form) so each guest submits their name; the form records attendance and QR Code Pro records the scans.

How do guests share event or wedding photos with a QR code?

Create a shared album or upload folder (for example in Google Photos or Google Drive), copy its share link, and use it as the QR code destination. Print the code on table cards or a welcome sign so guests can open the album on their phones and add their photos. If you move the album later, update the destination instead of reprinting.

Can I stop an event QR code working after the event?

Yes. On Pro and higher plans you can set an expiry date, after which the code stops redirecting, or switch the code off from your dashboard at any time. You can also add password protection to codes meant only for crew, speakers or VIP guests.

How much does an event QR code cost in South Africa?

QR Code Pro starts with a 14-day trial that includes 20 dynamic QR codes and unlimited scans. After that, Pro is R99/month for 50 codes, Pro+ is R199/month for 200 codes, and Team is R299/month for 500 codes. Codes can be created in bulk from a spreadsheet on any plan, up to its code limit. All plans are billed in ZAR via PayFast.

Do guests need an app to scan an event QR code?

No. Current iPhone and Android phones scan QR codes with the built-in camera. A calendar-event QR code adds the event title, date and time straight to the guest's calendar, and a WiFi QR code connects them to the venue network without typing the password.
