Team Collaboration: Inviting Members, Roles & Managing QR Codes Together

Complete guide to team collaboration on QR Code Pro — inviting members via email, understanding roles (Admin/Member/Viewer), creating team QR codes, and managing who can do what.

What Is Team Collaboration?

Team collaboration lets multiple people work together on QR codes under one account. The team owner's subscription covers all members — team members don't need their own paid plan.

Available on: Team (R299/mo), Team+ (R399/mo), Team++ (R899/mo), and Enterprise (R1850/mo) plans.

How Invitations Work

  1. Go to Teams from the sidebar menu.
  2. Select your team (or create one first).
  3. Click Invite Member.
  4. Enter the person's email address and choose their role.
  5. Click Send Invite — they'll receive an email with a link to accept.

The invitation link is valid for 7 days. If it expires, you can send a new one.

What Happens When They Accept

  • If they already have a QR Code Pro account, they log in and click "Accept".
  • If they don't have an account, they'll be prompted to create one (free) before accepting.
  • Once accepted, they immediately see the team in their sidebar and can start working.

Understanding Roles

Each team member has one of three roles:

Admin

  • Full control over the team
  • Can create, edit, and delete QR codes
  • Can invite and remove other members
  • Can change team settings and member roles
  • Best for: Business owners, department heads, trusted managers

Member

  • Can create and edit QR codes for the team
  • Can view all team analytics
  • Cannot invite/remove other members
  • Cannot change team settings
  • Best for: Marketing staff, campaign managers, content creators

Viewer

  • Read-only access
  • Can view QR codes and analytics
  • Cannot create, edit, or delete anything
  • Best for: Clients, executives, finance teams who need reporting visibility

Creating QR Codes for Your Team

When you're a member of a team:

  1. Go to Generate (create QR code page).
  2. You'll see a team selector at the top — choose which team the QR code belongs to.
  3. Create the QR code as normal — it will be saved under the team.
  4. All team members with the right role can see and manage it.

Viewing Team QR Codes on the Dashboard

On the Dashboard, team admins can:

  • See all QR codes created by any team member
  • Filter by team member to see who created what
  • View scan analytics for all team codes

Managing Your Team

Removing a Member

  1. Go to your team page.
  2. Find the member in the list.
  3. Click the remove/delete button (Admin only).
  4. They immediately lose access to all team QR codes.

Changing a Member's Role

  1. Go to your team page.
  2. Click on the member's current role.
  3. Select the new role from the dropdown.
  4. Changes take effect immediately.

Best Practices

  1. Use the right role — don't give Admin to everyone. Most staff only need Member.
  2. Remove access promptly — when someone leaves, remove them immediately.
  3. One account per person — don't share logins. Each person should have their own account and be invited properly.
  4. Name QR codes clearly — with multiple people creating codes, use consistent naming (e.g., "Campaign - Location - Date").

Frequently Asked Questions

Do team members need to pay? No. Team members access everything through the team owner's subscription.

Can someone be in multiple teams? Yes. A user can be a member of multiple teams, even across different accounts.

What happens if the team owner downgrades? If the owner downgrades below a Team plan, team features become unavailable. QR codes remain but team collaboration is paused until they upgrade again.

Can I transfer ownership of a team? Currently, teams are owned by the account that created them. Contact support if you need to transfer ownership.
